Administrative Assistant- Nursing Program

The VN Administrative Assistant is the individual responsible for scheduling clinical rotations according to the master calendar, ensuring that all pertinent documentation is received by each clinical site, inputting grades and attendance into the computer, maintaining a clinical site database, keeping a record of site visits by Nursing Administration, and general clerical duties.

Pay Rate: $23 to $25

Responsibilities

Principal Accountabilities & Deliverables

  • Maintain and update clinical rotations and monthly master calendars in Director of Nursing Education’s office.
  • Assist Nursing Administration in planning clinical rotations.
  • Distribute preference lists to students, two months prior to the start of the clinical rotations.
  • Make a final clinical rotation roster, one and a half months prior to the start of clinicals.
  • Obtain copies of health screens, CPR cards and Fire Safety Cards.
  • Maintain records of health screens, CPR cards and Fire Safety Cards.
  • Provide clinical facilities with student roster, clinical dates, and required information.
  • Maintain a database of all current clinical sites and verify sites with Nursing Administration.
  • Update database monthly as needed.
  • Input grades on a weekly basis and attendance on a daily basis.
  • Attend faculty meeting and record minutes.
  • Maintain student notification list.
  • Perform all clerical duties as required by Nursing Administration.
  • Perform required documentation in class for change of status, contact, absences.
  • Meet with Nursing Administration every morning for daily plan and updates.
  • Prepare reports for weekly COS meetings.
  • Maintain student clinical evaluations files.
  • Participate in COS and re-entry meetings as directed.
  • Provide Nursing Administration with updated clinical rosters.
  • Perform all other duties as assigned by Nursing Administration or Academic Dean.
  • Other duties as assigned

Qualifications

Education/Experience

  • High school diploma or GED (required);Associate's degree in business administration or other related field (preferred)
  • Minimum of one (1) year of experience as an administrative assistant
  • Knowledge base and experience should include basic use of Microsoft Office (Word, Outlook, and Excel) to produce reports, draft documents, or prepare communications

Work Environment

  • Work is performed indoors in a climate-controlled environment when on site at assigned company location. Employees must be able to safely ambulate when on company premises.
  • This position is designated as On Campus or On site; Work environments may include exposure to student learning environments with a variety of conditions. Employees must be able to follow all safety precautions including the use of personal-protective equipment. Employees must also be able to adhere to site-specific safety procedures.
