Operations Coordinator

 

The Operations Coordinator provides confidential administrative support to the Director of Academic Operations and department leaders, ensuring smooth daily operations through proactive coordination and attention to detail. This role manages internal systems and records, serves as a key point of contact for stakeholders and visitors, and upholds academic standards through accurate task execution and exceptional customer service.

Responsibilities

  • Provide administrative support including scheduling, reports, travel, and communications
  • Accurate and timely maintenance of campus Associate personnel files in accordance with Concorde Human Resources policy, Accreditation, and State Regulatory Agencies
  • Accurate and timely processing of Campus mail
  • Maintain compliance files and coordinate updates with internal teams and external agencies
  • Manage new hire orientation, paperwork, file audits, and credential tracking; monitor 45/90-day reviews
  • Maintain and update library databases; re-shelve materials and perform minor equipment maintenance
  • Proctor entrance testing
  • Assist with the maintenance of student files/records
  • Assist in the reconciliation of Exceptions
  • Assist with investigating and resolving records in the Student Management System
  • Ensure that documentation for policy exceptions and adherence is maintained
  • Other duties as assigned

Qualifications

Education/Experience

  • High school diploma or GED (required); Associate’s degree in business or related field (preferred)
  • Minimum of three (3) years of administrative experience (required), preferably in an academic or campus setting
  • Student Management Systems experience; CampusNexus (Anthology) (preferred)

Skills

  • Computer proficiency with experience in Windows/Microsoft suite
  • Demonstrate active listening and empathy in interactions
  • Function in flexible and adaptable work environment
  • Identify problems and recommend potential solutions

  • Ability to gain, understand, and apply information and data as it relates to software platforms, employment paperwork, and new hire processes

Work Environment

  • Work is performed indoors in a climate-controlled environment when on site at an assigned company location. Employees must be able to safely ambulate when on company premises.
  • This position is designated as On Campus or On Site; Work environments may include exposure to student learning environments with a variety of conditions. Employees must be able to follow all safety precautions including the use of personal-protective equipment. Employees must also be able to adhere to site-specific safety procedures.
